Ashgrey Digital is a full-lifecycle software agency that handles everything from the first prospect touchpoint to ongoing client support. They build custom mobile apps, web applications, and client portals for businesses across a range of industries — and they manage the entire relationship within Platfio.

What makes Ashgrey unusual is that it was built on Platfio from the beginning. Rather than assembling a patchwork of existing tools and migrating later, the founders made a deliberate decision to run the whole agency on one platform from day one.

The Starting Point

When Ashgrey launched, the founders had seen first-hand what tool sprawl does to agencies — having worked inside other shops. They'd watched teams lose deals because proposals took too long. They'd seen projects go sideways because scoping lived in one tool, communication in another, and the client-facing portal somewhere else entirely.

The decision to use Platfio was driven by a simple requirement: every stage of the agency lifecycle had to live in one place, and that place needed to be purpose-built for custom software agencies — not a generic project management tool trying to stretch into something it wasn't designed for.

The Full Lifecycle on One Platform

Ashgrey Digital uses Platfio across every stage of their client work. Outbound prospecting starts in the Outbound Tool — identifying businesses in their target market and adding them to the CRM. Leads move through the pipeline until they're ready for a discovery conversation.

Scoping happens in the Plan Builder. The team works through discovery, personas, user stories, flows, and tech stack with the client — then shares the output as a PRD the client can review online. That same plan feeds directly into the Proposal Builder, with packages, milestones, and payment terms all integrated.

Build is handled through the App Builder and Website Builder, with Deployments to the App Store and Play Store managed from the same platform. Once live, client relationships are managed through the Client Portal, with issues tracked via the Ticketing System and new clients onboarded through the Onboarding Wizard.

The Results

Running eight or more concurrent projects without the overhead of coordinating multiple tools changed what the team could take on. End-to-end cycle time — from signed proposal to delivered app — dropped by 35%, largely because handoffs that used to require manual re-entry of data across tools now happen automatically within Platfio.
